Recording Storage Calculations and Backup Workflow
Estimate recording storage from data rate, add project overhead, and build a verified working-copy, local-backup, and offsite workflow.
Storage planning starts with the recording format, not the drive label. Estimate source media, then add room for audio, graphics, render files, proxies, exports, and versions. Finally, separate working capacity from backup capacity.
The calculation
When a camera or codec publishes a data rate in megabits per second:
gigabytes per hour ≈ megabits per second × 0.45
The factor converts bits to bytes and seconds to hours using decimal units. It is an estimate; variable-bit-rate media and filesystem overhead change real results.

Apple publishes approximate minute-based storage for formats in Final Cut Camera and target data rates for ProRes variants. Those official figures are better inputs than assuming every “4K” file has the same size.
Add project overhead
Start with source-media capacity and multiply by a planning factor that reflects the workflow. A simple talking-head edit might need source media plus modest project and export space. A course with screen captures, proxies, graphics, multiple revisions, and deliverables needs more. Rather than asserting one universal percentage, measure one representative project and document its ratio.
Keep at least enough free working space for the application, temporary renders, and safe copying. A drive filled to its limit is not a capacity plan.
Separate the storage roles

RAID can improve availability in some systems, but it is not a substitute for an independent backup. Sync can copy deletions and corruption. A second folder on the same physical drive is not a second copy.
Project-start checklist
- Confirm codec, resolution, frame rate, and estimated data rate.
- Multiply by planned recording hours and camera count.
- Add measured project overhead and export requirements.
- Confirm the working volume has capacity and interface performance.
- Allocate an independent local backup target.
- Confirm offsite coverage and any exclusions.
- Define folder names before ingest.
- Test restoring one representative file.
NIST continuity guidance emphasizes defined backup locations and regular recovery testing. The test matters because a green status icon proves a job ran, not that the needed project can be restored intact.
Handoff and deletion rule
After recording, copy media to the working location and the independent backup. Open representative files from the copies and compare expected counts or checksums when the workflow supports them. Do not erase cards or guest uploads until the required copies are verified.
